Lead Status

Purpose: Understand what the Lead Status master does and how it helps you define, colour, and order the stages of your sales pipeline


What This Module Does

A lead status is a stage in your sales pipeline — for example, New, Contacted, Qualified, Proposal Sent, or Closed. Each status has a name and an optional colour so you can see a lead's stage at a glance. Statuses have an order (sequence) that defines how your pipeline flows from first contact to a closed deal.

The Lead Status master lets you:

  • Create the stages your leads move through, each with its own colour.
  • Search and list your statuses (shown in pipeline order).
  • Rename or recolour a status.
  • Reorder statuses to match how your pipeline works.
  • Delete a status that is no longer needed (only when no lead is using it).

Main Features (What You Can Do)

1. Create a Lead Status

You create a status by giving it a name (required) and an optional colour. The status is active by default.

  • The name must be unique — a status with the same name is not allowed.
  • The system automatically gives the new status the next position at the end of your pipeline order.
  • It also stores an internal value derived from the name (the name in capitals with underscores, e.g. "Proposal Sent" becomes PROPOSAL_SENT). You do not need to enter this.

2. View and Search Statuses

You can list all your statuses and search by name. The list is shown in pipeline order (by sequence), so it reads the same way your leads progress.

3. Edit a Lead Status

You can rename, recolour, or activate/deactivate a status. If you change the name, the system checks the new name is unique and updates the internal value to match. The colour change is reflected wherever leads show their status.

4. Reorder Statuses

You can reorder your statuses so the pipeline reads the way you work (for example, moving Qualified before Proposal Sent). The system saves the new sequence for all statuses together.

5. Delete a Lead Status

You can delete a status only when no lead is using it. If any lead is on this status, deletion is blocked. When a status is deleted, the statuses that came after it move up one place automatically, so your pipeline order stays clean with no gaps.
